Title:  Executive Assistant

Job Purpose

The executive assistant is responsible for providing administrative support to the JESA Management Director or a Business Unit Head, in an effective and efficient manner while ensuring internal policy compliance. 

Main Scope/Responsibilities

  • Act as a gatekeeper and handle requests in an appropriate manner
  • Setup General Manager and/or Leadership Team Member travel arrangements, expense report, time sheets or purchase orders             
  • Setup and coordinate meetings and conferences; Prepare correspondence, reports, and materials for publications and presentations                              
  • Provides support to JESA leadership team office organisation, project management, deadline compliance, and important documents and files            
  • Meet and greet clients and visitors; Setup accommodation and entertainment arrangements for company visitors                              
  • Processing expenses and invoices.            
  • Perform general clerical duties and make arrangements of travel, restaurant and hotel reservations, preparation of travel authorizations, processing requests for visas, identity cards and other documents for the General Manager and/or any Leadership Team Member
  • Performing any other duties related to the job as assigned by the General Manager and/or any Leadership Team Member

Global Experience

  • 10-15 years

Specific Experience in the position

  • Minimum of  over 10 years of experience as an Executive Assistant reporting directly to senior management.
  • Proven experience in a busy Executive Assistant and/or Administrator role with accountability for a wide variety of complex administration tasks is a must in a large sized or multinational corporation is needed.
